The application consists of two files that work together through Google Drive.

Users File – Data Entry

  • This file is used by data entry users to enter family data, update records, and search for family information.
  • Data entry users can edit the data as long as it has not been transferred to the manager's file.
  • The file contains all family information, for read-only viewing.

Buttons
  • The application's button group, including adding a new family, searching, editing, navigating between file sections, import, export, and more.
  • When the family code frame turns red, it means the family code exists in the permanent tables.
  • When the family code frame turns blue, it means the family code exists in the temporary tables.
  • Click the search button to display all visit information recorded on the same worksheet.
Data Entry
  • Entered data is automatically cleaned of extra spaces and unusual characters.
  • When Father or Mother is selected as the relationship, the father's or mother's information is automatically copied to the recipient.
Data Entry

The section for entering multi-row data such as children, referrals, follow-ups, and updating the recipient and address.

Data Display

The section that displays the family's data. New or edited data appears as soon as it is saved.

File 2 – Data Manager

  • This file is the master database containing the data of all families. It can be edited by the manager, and it also includes a set of reports and search pages.
  • This file connects to the entry files and loads the entered data into the temporary tables so it can be reviewed and then transferred to the permanent tables.
File Ribbon Bar
  • The ribbon contains the buttons specific to the file, such as navigating between reports, the temporary and permanent tables, search, and more.
  • When any cell within the advanced search range is selected, the corresponding family code appears in the ribbon. It is used to filter reports and tables directly.
Families Report
  • A report for the aid management department titled “Families Report”, covering the beneficiary families.
  • Allows sorting data by area, marital status, payment details, displacement, number of children, and referrals.
  • Displays detailed records for each family, covering many fields distributed across several tables.
  • Used for financial and relief auditing to ensure aid eligibility and to track payment distribution effectively.
Referrals Report
  • An interactive dashboard for the Referrals Report, recording 6,785 total referrals for 3,866 beneficiary families.
  • Includes filters to sort referrals by sector (health, shelter, protection), service type, receiving entity, and reasons for non-receipt.
  • Includes a detailed table showing beneficiary names, referral and family codes, visit dates, and service delivery status.
Children Report
  • An interactive dashboard for the Children Report, containing everything related to the project's children.
  • Includes filters to sort children by educational status, grade, gender, and disability status.
  • Includes a detailed table showing the child's personal data, date of birth, parents' names, family code, and visit dates.
Search
  • The family code search page: displays all the information for the family specified in the search box, including family information, children, referrals, and follow-ups.
Advanced Search
  • The advanced search page contains several fields for the search period, and it follows non-exact matching.
  • The page shows the total number of families and the number of search results, and displays results from several tables.
  • When a cell is selected in the search, the family code appears in the ribbon.
  • The three buttons are used to navigate between reports, filtered for the selected family.
Temporary Tables
  • Data is imported from user files into the temporary tables for review.
Permanent Tables
  • After the data has been reviewed in the temporary tables, it is transferred to the permanent tables using the transfer command.
Lists
  • When the lists are edited here, the change is also reflected in the Users file.
Comprehensive Report
  • This unified report gives the Cash system an integrated strategic tool to support decision-making, field planning, and highly effective resource allocation.
  • A comprehensive central (360-degree) view: it links all financial, health, education, and relief data for more than 8 thousand families and 22 thousand children on a single executive screen, giving management a complete and accurate picture.
  • Enables management to monitor direct aid in real time and track payment and blocking movements, ensuring the highest levels of transparency and avoiding duplicate disbursement or waste.
  • Analyzes actual needs in the field (displacement rates, chronic illnesses, persons with disabilities, and school dropout), helping direct referrals to partners and implementing entities according to the most urgent needs.
  • Allows indicators and statistical reports to be extracted with quick button clicks, speeding up proactive corrective decisions and making it easier to prepare progress reports for donors and supporters.
